When Zapier wins
Zapier is the fastest way from idea to working automation, and it connects to more apps than anything else. If your need is "when a form is submitted, add a row and send a Slack message," Zapier does it in minutes and you never think about it again. The catch is per-task pricing: once you are running thousands of tasks a month, or need branching and data transformation, the bill and the friction climb quickly.
When Make wins
Make (formerly Integromat) gives you a visual canvas with real branching, loops, and data manipulation, at a friendlier price per operation than Zapier at volume. It is my pick when the logic is genuinely intricate but you still want a no-code-ish surface. The trade-off is a steeper learning curve, the flexibility that makes it powerful also makes it busier.
Choose the simplest tool that does the job today, but know where its ceiling is, so you are not rebuilding everything the month your volume triples.
When n8n wins
n8n is my default for serious business automation. It self-hosts, so your data stays on your infrastructure, a real requirement for privacy-sensitive work. It has no per-task pricing, so high volume does not punish you. And when the visual nodes are not enough, you drop into code.
